This article will guide both administrators and end-users through the process of enabling and downloading attendance reports in the Microsoft Teams.
Enabling Attendance Reports in Microsoft Teams Admin Center:
- Log in to your Microsoft Teams Admin Center using your administrator credentials.
- Go to "Meetings" and select "Meeting policies." This section contains policies that govern the behavior and features available during meetings.
- Edit Global (Org-wide default) Policy: By default, changes made to the global policy will affect all users within your organization. Click on "Global (Org-wide default)" to edit the global meeting policy.
- In the selected section below you can find the opstions available to enable and download the
Attendance and Engagement report options:
Option Behavior On, but organizers can turn it off This is the default. Organizers with this policy can view and download the attendance and engagement reports for all meetings and events they create. They can also disable the attendance report in their meeting options. Off Organizers with this policy can't view or download attendance and engagement reports for meetings and events they organize. On Organizers with this policy can view and download the attendance and engagement report for all meetings and events they create; organizers can't turn off attendance and engagement reports.
Include Attendees in the report:
Option Behavior Yes, but attendees can opt out This is the default. The attendance and engagement report initially includes all attendees with this policy. To opt out, attendees can set the Identify me in attendance reports toggle to Off in their Teams privacy settings. No, but attendees can opt in The attendance and engagement report initially excludes all attendees with this policy. To opt in, attendees can set the Identify me in attendance reports toggle to On or Off in their Teams privacy settings. Always The attendance and engagement report includes all attendees with this policy, and attendees can't opt out. Never The attendance and engagement report excludes all attendees with this policy, and attendees can't opt in.
Attendee Information:
Option Behavior Show everything This is the default. Include attendees' join times, leave times, and in-meeting duration. Only show who attended Excludes attendees' join times, leave times, and in-meeting duration. - Click on the "Save" button to apply the settings.
View Attendance Report from Admin Center
- Log in to your Microsoft Teams Admin Center using your administrator credentials.
- Go to "Analytics & Reports" and select "Usage Reports"
- In "View Reports" tab, select "Teams user activity".
- Select the range, Last 7, 30 90 and up to 180 days.
- Click "Run Report"
- Here you will be able to see Messages a user posted in a team chat, Messages a user posted in a private chat, 1:1 calls a user participated in, Number of meetings user organized, Number of meetings user participated in, Meetings Audio Video and Screen sharing time, Last activity date of a user, Shared channel interactions of a user (new)
