This guide explains how to share documents or folders with people outside your organization from SharePoint.
On your SharePoint site, open the Document Library that contains the file or folder you want to share.
- Click the circle checkbox to select the File or Folder you want to share
- Then click the Share button at the top menu or next to the file name.
- A Share pop-up windows will appear.
- Click the permission drop-down. You can select from "Can Edit", "Can view" and "Can't download"
- In the "Enter a name or email address" field, type the email addresses of the people you want to share with.
- You will get a notification to confirm the file/folder sharing with the external address
You can enter multiple addresses at the same time. - You can add a message if desired.
- Once you are ready, you can either Copy link and share it via any other channel or click Send so they can receive the notification via email.
Note: External recipients will receive an email invitation and may be required to verify their identity. - You are all set! You shared the selected files with the specific addresses:
Review your Permissions and Links Shared
If you would like to review and/or edit the permissions granted to any existing files
- Select the File or folder and click on the three dots
- Click on manage access
- You will see the list of user with access and their type of permission.
- Click on the Links tab and the Settings icon to edit the permissions and the users with access.
- Here you will be able to change the permissions to "Can Edit", "Can view" and "Can't download also hit X on the user you would like to remove and hit Apply
- Hit Change to apply or Cancel
