Key Concepts
- Files/folders can be shared via:
- Sharing links (e.g., "Anyone with the link")
- Direct access (specific people or groups)
- You cannot change a sharing link’s permission from edit to view or vice versa. You must delete the link and create a new one with the desired permission
Steps to Stop Sharing or Change Permissions
- Select the file or folder you want to manage.
- Click the Information icon (top-right corner) to open the Details pane.
- Note: This icon only appears if one item is selected.
- Under Has Access, click Manage access.
- You can now:
- Stop sharing entirely: Click Stop sharing.
- Delete a sharing link: Click the ellipsis (…) next to the link, then click the X to remove it.
- Remove specific people: Expand the list under a "specific people" link and click the X next to their name.
- Change permissions for direct access: Under Direct Access, use the dropdown next to a person’s name to switch between Can view and Can edit, or remove access.
Additional Options
- You can also manage sharing via the OneDrive desktop app:
- Right-click the file/folder → Share → More options → Manage access.
- To view items you've shared:
- Go to OneDrive.com → Shared → Shared by me.
Security Tips
- For added control, you can:
- Set expiration dates for links.
- Require passwords for access.
- Use “Block download” to prevent file downloads
