When you're using OneDrive in File Explorer, you’ll notice small icons next to your files and folders. These icons help you understand the sync status and availability of your content. Here's a quick guide to what each one means:
OneDrive Cloud Icon
This icon represents your OneDrive folder. It may appear blue (work/school account) or white (personal account).
Shortcut to Another Folder
A chain icon over a folder means it's a shortcut to another shared folder.
File Is Only Available Online
The file is stored in the cloud and doesn’t take up space on your device. You’ll need internet access to open it.
Locally Available File
You've opened or downloaded this file, so it's temporarily stored on your device. You can open it offline, but it may be removed if space is needed.
Shared File or Folder
A people icon means the file or folder has been shared with others.
Sync in Progress
Circular arrows mean OneDrive is syncing changes. If you see “Processing changes” for a long time, it could be due to large files, open documents, or a sync queue.
Always Keep on This Device
A solid green circle with a white checkmark means you've marked the file or folder to always stay on your device. It’s available offline and won’t be removed automatically
Sync Error
A red circle with a white cross means the file or folder couldn’t be synced. Click the OneDrive icon in the system tray to troubleshoot.
Sync Paused
A pause symbol over the OneDrive icon means syncing is paused. Resume it by clicking the icon and selecting “Resume syncing.
Account Needs Attention
A yellow triangle with an exclamation mark means your account needs attention, click the icon to view the message.
